Two enforcement models keep no-shows honest. Deposit at booking captures money. Card on file authorizes it for later.
This guide is not about which is better. It is about which fits your shop.
What each model is
Deposit at booking. The customer pays a portion of the ticket at booking time. The money moves. The slot is confirmed only after the charge clears.
Card on file. The customer enters a card at booking. No money moves yet. If they no-show or cancel outside the window, the card is charged at that moment.
What each one protects against
A deposit moves money at booking, before the slot is confirmed. Whether that changes who books, and how, is something to measure against your own baseline, not assume.
Card on file stores an authorization without moving money at booking, then charges only on a late cancel or no-show as written in the policy. Nothing is collected up front.
Where deposits win
High-prep services where you order product before the visit. High-ticket services where a cancel costs more than a small charge would deter. Tight schedules where late cancels have no realistic replacement.
Where card on file wins
Repeat-client-heavy books where friction at every booking hurts more than it helps. Membership or subscription cadences where payment is handled separately. Higher-frequency, lower-ticket services where a real deposit feels disproportionate.
What both require to work
Neither model works without three things.
- • The policy is visible on the booking page, the confirmation, and the reminder.
- • Enforcement happens automatically inside the booking tool.
- • Refunds fire without an email to you inside the window.
Three-question decision rubric
deposit on book
Filter casual bookers
- • Charge at booking, apply to the visit.
- • Best when no-shows are the main leak.
- • Clear signal of commitment up front.
card on file
Enforce policy after the fact
- • Authorize now, charge only on no-show or late cancel.
- • Best when volume matters more than filtering.
- • Lower friction at booking, more admin later.
Answer these in order.
- • 1. Do you incur prep cost before the visit? Yes leans deposit.
- • 2. Are more than half your bookings repeat customers? Yes leans card on file.
- • 3. Is your no-show rate over 10 percent? Yes leans deposit.
