What to check before you buy new booking software

New software rarely fixes a disconnected loop. Answer these ten questions first.

Booking-software demos are optimized to make you feel a decision at the end of the call. The demo cannot see your current loop. It cannot see the seam between your booking tool and your POS. It cannot tell whether the leak is a tool or a configuration.

Before you sign up, walk through these ten questions about your current setup. If the answers rule out configuration, the software case is real. If they do not, you are about to move a broken loop into a new tool.

01

The frame

In most local service shops the loop is broken between tools, not inside one tool. Buying a new tool without diagnosing the seam guarantees the leak follows you.

02

Ten questions grouped by loop stage

  • Does one customer record flow through every stage?
  • Can I take a deposit at booking without a workaround?
  • Are reminders automatic and configurable?
  • Is the review request tied to actual visits?
  • Can I see repeat rate without exporting?
  • Will this replace or add another disconnected tool?
Questions that separate a real fit from a wasted subscription.

Answer yes, no, or not sure. Not sure counts as no.

  • Booking. Can a customer book in under 30 seconds from your homepage on a phone?
  • Booking. Does your tool create one customer record that the rest of the loop can reference?
  • Deposit. Does your tool capture a card at booking with a visible policy?
  • Deposit. Does refund fire automatically inside the window with no phone call?
  • Reminder. Does your tool send 24-hour and 2-hour reminders automatically?
  • Reminder. Does the reminder go on the channel the customer booked with?
  • Review. Does your tool fire on appointment-completed, not on payment?
  • Review. Can you skip no-shows, cancels, and complaints from the review request?
  • Rebooking. Does the tool prompt at the service cycle with the last visit as context?
  • Reconciliation. Does your tool agree with your POS about who paid?

When new software actually helps

Two signals.

  • The vendor of your current tool has confirmed a specific mechanic cannot be enabled.
  • The tool is missing an integration path to something your business genuinely needs (a marketplace booking surface, a specific payment processor).
04

When to keep what you have

Three signals.

  • More than three of the ten questions above are not sure. Diagnose first.
  • The leak is at a seam between two tools, not inside either one. Switching one tool moves the seam, it does not close it.
  • You have not talked to your current vendor's support about the specific mechanic yet.
